You can use this website without providing any personal information. I will only require personal details if you are wanting to make a booking. This policy explains how and why I collect your data and how I keep it secure.
I use google analytics to track your usage on my website, it allows me to see how you found my website, which pages you use, how much time you spend on them etc. It is completely anonymous and is used for me to improve my website.
The data I process
Email address - used for contact prior to the shoot, and to send link to final images after the shoot.
Home/work address - might be required if the shoot is in the client’s home. Will be required for posting/delivering the final USB, prints and albums. Postal records will be stored in a locked cupboard, until no longer needed.
Telephone number - used to contact prior to the shoot and on the day of the shoot.
I don't have a formal delete date but I am mindful to delete clients’ contact number that I haven't worked with for some time after a year.
Personal Information can be gathered via an online contact/booking form, by the posting of a comment in relation to content on the site, or by interacting with one of EKRPICTURES’ Social Media platforms (Facebook, Instagram, Pinterest ). I will only require your name, email & phone number from a contact form. I may also request Personal Information when hosting a competition whereby applicants must apply to participate. I will never require your card details for payment.
All correspondence to EKRPICTURES via email, social media, website, contact form, What’s app, messenger are password protected and EKRPICTURES is solely responsible for the handling and managing of all personal data.
Under no circumstances will any Personal Information be used for anything other than the reason it has been submitted for. I reserve the right to use any Personal Information for promotion administration purposes, including but not limited to verification and notification of winners as applicable.
Why I process/ collect your data.
To be able to contact you regarding your shoot, pre-shoot or post-shoot services, to offer you the best service, to edit your images, to retouch your images and to deliver your images. To create products like prints and albums after your shoot. To add to my ongoing online and printed portfolios. I also keep your images to ensure I have your photos should you lose your images or require another copy.
Photos/Digital image storage
Once you've booked your shoot I create a folder on an external hard drive that is named with your name and the date of your shoot. I keep all of the digital images from your shoot in this folder. The external hard drives are stored in my home and are only accessed by me.
I will upload your digital images to a password protected online gallery using Pixieset for you to view and download your images. All of the images in this gallery are private (unless you choose to share your password).
Portfolio - Online & Print
In running my photography business I may use photographs taken during your shoot that may be identified as you as part of my online and print portfolios. This includes my website, social media accounts and print brochures, leaflets, business cards and other printed products. I may store photos from your shoot that may be identifiable as you as an example to show to potential client. This is given that you have provided signed consent for your photos to be used for my own promotional purposes. If you state that you are not happy for me to do this, I won’t.

Terms and Conditions
In the following terms and conditions “Photographer” shall mean Ellie Rhodes trading as EKRPICTURES. “The clients” shall be those who have made the booking and have stated their name on the form above.
Agreement overview - This agreement contains the entire understanding between the photographer and the CLIENT (s). It includes all prior agreements between the parties. The only way to add or change this agreement is to do so in writing, signed by all the parties.
i. A non-refundable booking fee of £50 will confirm your booking, as well as full acceptance of the terms and conditions. The booking fee will be deducted from the cost of the final balance
ii. The remaining balance is due on the day of the client’s session. If payment is not made on this day, then photos will not be sent until the payment has been received.
i. In the unlikely event that the photographer is injured or becomes too ill to attend the photo session, the photographer will make every effort to reschedule to the earliest possible date.
ii. Photographer will take the utmost care with respect to the exposure and retouching of digital captures. However, in the unlikely event that all the originals are lost, stolen, damaged or destroyed within or beyond the photographer’s control, the photographer’s liability is limited to the refund of all payments received, or a reshoot can be scheduled at no additional cost.
Cancellation/Postponement - In the event of a cancellation or postponement of the session/agreement by Client, the deposits paid are non-refundable. Forty-eight hours (48) notice of postponements or cancellations is appreciated. If it is not possible for a session to take place on a scheduled day due to weather, the photographer and Client will reschedule on an agreed date at the earliest date possible, with no additional charge. Deposits are transferable if a date change is necessary.
Session Images – the final images will be ready within 3 weeks of the session date. The photographer retains the right to edit the photographs as she sees fit based on experience and expertise and omit any image(s) that do not meet her standards.
Cooperation/No Shows - Photographer is not responsible if Client and/or key individuals fail to appear or cooperate during portrait sessions, or for missed images due to details not revealed to photographer. The photographer’s camera is the only camera allowed at the photo session because of the distraction it causes, especially to small children, which hinders the photographer’s ability to obtain quality shots. If Client and/or key individuals fail to appear to a scheduled portrait session, the deposit is non-refundable.
Photographer will use her own judgment regarding style and input in the production of the photographs. This includes but is not limited to locations, poses and number of images taken.
Image usage - All finally edited images from the session with the photographer will be provided to client in agreed packaging. The images can be used by the photographer for their own promotional purposes (Website, social media, etc.) unless requested otherwise by client. You are entitled to your own privacy, I just need to be made aware and this will then have to be rewritten into the contract.
SERVICE AGREEMENT - This confirms my contracting agreement: I agree that EKRPICTURES shall provide services to photograph you to the best of our abilities in accordance with the package selected. Every effort will be made to ensure your satisfaction according to industry standards. Any artistic interpretation by the photographer will be deemed acceptable and correct. Due to the nature of the business, all sales are final. Although every care possible will be taken to produce photographs of all important and special moments during the session, the photographer cannot place an un-conditional guarantee on the above. If you are not satisfied with your images through fault of EKRPICTURES your images will be retaken. If you are not satisfied with your products through fault of EKRPICTURES they will be replaced. Notification of dissatisfaction must be received in writing within one week of receipt of images or upon receipt of products in order to receive refund or replacement. I do all I can to ensure that you are satisfied with your images and products. I cannot be responsible for dissatisfaction due to circumstances beyond my control.
